Unico Suites is a trading name of Unico Suites Ltd (Company Registration 16951086), a private limited company registered in England and Wales. Our registered office is at 6 Bridge Street, Northampton, NN1 1NW. Our trading address is 60 Bromham Road, Bedford, MK40 2QG.
For the purposes of UK GDPR and the Data Protection Act 2018, Unico Suites Ltd is the data controller for personal data processed via this website (unicosuites.com).

2. What data we collect
We collect the following categories of personal data:
- Contact information — name, email address, phone number, and postal address when you submit our contact form, request a property review, or use any of our calculators.
- Property information — address, bedrooms, bathrooms, property type and any other details you share about a property you'd like managed.
- Guest booking information — where you make or enquire about a stay, we may process booking details, stay dates, guest names, contact details, payment status, guest communications, property access information and related booking records.
- Usage data — IP address (truncated), browser type, device type, referring URL, pages viewed and time spent, collected via Google Analytics 4 only after you accept analytics cookies.
- Communication records — copies of emails, messages and call notes when you correspond with us.
3. How we use your data
We process your personal data to:
- Reply to enquiries, arrange property reviews and provide quotations.
- Enter into and manage service agreements with landlords.
- Operate our website, monitor performance and improve our service.
- Comply with legal, regulatory and accounting obligations.
- Send service-related communications (we do not send marketing emails without explicit consent).
4. Legal basis for processing
We rely on the following lawful bases under UK GDPR Article 6:
- Contract — to take steps before entering into a contract and to perform the contract once signed.
- Legitimate interest — to operate, improve and secure our business and our website.
- Consent — for analytics cookies and any optional marketing communications. You can withdraw consent at any time.
- Legal obligation — to retain accounting records as required by law.
5. Who we share your data with
We share personal data only with carefully selected third parties as needed to operate our business:
- Hosting & form processing — Netlify (Netlify Inc., USA, GDPR-compliant data processing addendum).
- Analytics — Google Analytics 4 (Google LLC), only with your consent. IP anonymisation enabled.
- Communication — Google Workspace for email and 8x8 for telephony.
- Property management software — Guesty, used to manage listings, calendars, guest communications, bookings, payments and operational workflows.
- Payments — Stripe (Stripe Payments UK Ltd) where applicable.
- Booking platforms — Airbnb, Booking.com, Vrbo where the data relates to guest bookings.
- Professional advisers — our accountants, solicitors and insurers where strictly necessary.
We never sell your personal data. We never share it with third parties for their own marketing purposes.
6. International transfers
Some of our processors are based outside the UK / EEA (notably Netlify and Google in the United States). Where personal data is transferred internationally, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or other appropriate safeguards as required by UK GDPR.
7. How long we keep your data
We keep your personal data only for as long as we need it for the purposes set out above. As a general rule:
- Enquiries that don't proceed to a service agreement: up to 24 months.
- Service agreement records: seven years after the end of the contract, in line with HMRC requirements.
- Website analytics: aggregated and anonymised, retained for 14 months by Google Analytics.
8. Cookies
We use a small number of cookies on this website. Essential cookies make the site work and do not require consent. Analytics cookies (Google Analytics 4) require your explicit consent — see our cookie policy for the full list and how to manage them.
9. Your rights
Under UK GDPR, you have the following rights:
- Access — request a copy of the personal data we hold about you.
- Rectification — ask us to correct inaccurate or incomplete data.

- Portability — receive your data in a portable, machine-readable format.
- Objection — object to processing based on legitimate interests.
- Withdraw consent — where we rely on consent, withdraw it at any time.
